Financial RPA: 5 examples of what a bot can do

RPA

In the financial area, there are activities that are repetitive, time-consuming, and have well-established criteria. This type of activity allows the use of automation, unleashing the full potential of the people involved for more creative and strategic work.

We have brought some examples of activities that can be automated within a financial institution and bring gains to teams. Check them out:

1. Cross-checking information between invoices and issued bank slips:

Some organizations have an approval dynamic for issued bank slips based on cross-checking with invoices. For these organizations, it is possible to implement a bot that verifies the invoice information and matches it with the appropriate field on the bank slip related to the invoice. During the check, if there is a discrepancy, an email is sent to the team to correct or validate the information. If the check is successful, it triggers an email reporting the result and confirming that the correct ones are in a directory for the process to continue.

2. Low-value purchasing process:

The process of low-value purchases often consumes a huge amount of time for organizations. For these, when there are well-established criteria, there is also the possibility of automation, ranging from requesting quotes, opening purchase requests, all the way to validation.

Example: The automation carried out, based on the validation of purchase requests, retrieved the information of the items to be purchased, generated a request for quotation, and sent it to several organizations registered in the system that were recommended for this type of purchase.

Following this request, it periodically checked whether three quotes had been received for the items. Once the application highlighted the vendors, the automation validated whether the discount offered by the vendor was above 10% to proceed with the purchase order.

3. Generation of bank slips for payments

Another process with characteristics suitable for automation is the bank slip generation process. For one of our clients, we developed bots that read the necessary information from a system—in this case, Totvs—and, after processing this information, generated the bank slips with all the proper details and sent them via email to the responsible agents, facilitating the process, performing all the manual tasks, and minimizing the risk of incorrect data entry by the operator.

4. Financial Validation and Write-Off

Daily, financial departments need to send payments to banks and receive returns via CNAB files, needing to update their systems with the write-offs for these payments.

This is also an operation where automation is of great help, capable of writing off a large volume of payments that do not have exceptions or situations requiring manual analysis and handling.

We have implemented operations where bots regularly monitor certain directories, and when files arrive, an orchestrator bot triggers the bot that will process the CNAB file and update the client's system with the payment write-offs. It also notifies the person in charge if any failure occurs in this process.

5. Reconciliation Process

For a banking client, we needed to implement a bank reconciliation solution where it is necessary to examine the database of transactions—Pix, wire transfers, or others—process the payment type, payment date, base account, and the amount of this payment, and write it off in another database of the organization that manages reconciliation.

The bot compares all of this information, and when it finds an exact match for these keys, it updates the database, writing off the identified payment.

We have other possible solutions for the financial area, such as expense control, system order posting, apportionment tracking, among others.
